About this job
Atomic Machines is building the Matter Compiler™, the first in a new class of AI-native, all-digital manufacturing systems that build working machines directly from code. The Matter Compiler (MC) is aimed at micro-machines: motors and gears the size of a grain of sand, robots small enough to work inside the body, cooling built directly into the chips that run AI, and the many devices like them that have been waiting on a way to build them. Its first product is PrimeSwitch™, an electromechanical power relay the size of a button battery that carries 150 amps continuous current and opens in 50 microseconds, about a thousand times faster than a conventional contactor. Founded by Jeff Holden — serial entrepreneur, ex-Amazon SVP and Uber’s first Chief Product Officer — the company has raised $250 million to date.
Atomic Machines is based in the San Francisco Bay Area, with offices in Emeryville and Santa Clara.
About The Role:
Atomic Machines is looking for a full-time Executive Assistant to support two senior executives, iGo-to-Market and Engineering, from our Emeryville five days a week. You’ll be the operational backbone behind both leaders, managing calendars, travel, meetings, expenses, and projects, freeing them to focus on their highest-impact work. This role requires someone who can move fluidly between two different functions and working styles, partnering closely with each executive and their respective teams. We’re looking for someone proactive, trustworthy, and hyper-organized who thrives in a fast-moving startup environment. If that’s you, we’d love to hear from you.
What You’ll Do:
- Proactively manage the schedules, priorities, and incoming requests of two senior executives, one in Go-to-Market and one in Engineering, exercising strong judgment to protect their time and focus across both functions.
- Coordinate all calendar scheduling, travel arrangements, and related logistics for both executives.
- Serve as a liaison between the two executives’ teams, internal departments, and external partners to ensure clear and timely communication.
- Represent both leaders in meetings and communications, acting with professionalism, sound judgment, and a deep understanding of each one’s priorities and working style.
- Draft, proofread, and send communications on behalf of each executive, maintaining their individual voice and a high standard of professionalism.
- Prepare and organize documents, presentations, and materials for meetings and key initiatives across both functions, including technical program reviews, cross-functional planning sessions, and go-to-market strategy discussions.
- Support both executives on special projects, coordinating across engineering, GTM, and other teams and tracking progress against deadlines.
- Track, reconcile, and submit expense reports accurately and on time for both leaders.
- Plan and execute team offsites, leadership events, and internal gatherings.
- Greet and host guests, partners, and candidates, reflecting Atomic Machines’ culture and professionalism.
- Handle employee scheduling requests with a high degree of customer service, fostering a productive, inclusive, and engaging environment.
- Handle sensitive and confidential information with the utmost discretion at all times.
What You’ll Need:
- 7+ years of Executive Assistant experience, including direct experience supporting Sr. Director-level and above leadership; experience supporting multiple executives across different functions is a strong plus.
- Demonstrated comfort operating across both engineering and go-to-market functions. Familiarity with engineering workflows and terminology (e.g., program reviews, sprint planning, hardware/software development cycles) as well as GTM cadences (e.g., pipeline reviews, customer meetings, launch planning) is a strong plus.
- Polished presence and professional demeanor, you represent both executives with care in every interaction, written or in-person.
- Exceptional organizational skills and attention to detail, you track the details across two fast-moving workstreams without losing sight of the bigger picture.
- Outstanding judgment and discretion, you handle sensitive information with the highest level of confidentiality.
- Strong written and verbal communication skills, with the ability to adapt tone and style across two distinct executives.
- Comfortable working cross-functionally and independently.
- Calm and confident under pressure with the ability to manage shifting priorities, competing demands from two executives, and resolve conflicts proactively.
- Resourceful problem-solver with a no task too big or too small mindset.
- Natural relationship-builder who earns trust quickly with executives, partners, and peers across different functions.
- Comfortable working in fast-paced, hyper-growth environments.
- Proficient in Google Workspace and comfortable picking up new tools quickly.
- Bachelor’s degree required.
The compensation for this position also includes equity and benefits.
