The Opportunity:

The Talent Acquisition Coordination Manager will lead RevMed’s TA Coordination team and oversee high-volume interview scheduling across onsite, virtual, and global hiring activities. This role combines people leadership with hands-on operational oversight to deliver timely, accurate scheduling and a welcoming, professional candidate experience.

Reporting to the Director of Talent Acquisition Operations, this manager will build team capability, balance workloads, resolve complex scheduling challenges, and improve coordination processes as hiring needs grow. The role will partner closely with TA Business Partners, hiring managers, interviewers, and workplace support teams to help RevMed hire the talent advancing its mission to save and extend patients’ lives.

Key Responsibilities

Team Leadership and Development

  • Lead, coach, and develop TA Coordinators, including employees and contractors as assigned; establish clear expectations for service, quality, productivity, and collaboration.

  • Build onboarding, training, and cross-training programs that strengthen scheduling expertise, problem-solving, and consistent execution.

  • Manage daily assignments, coverage, and backup plans; balance workload based on interview volume, complexity, time zones, and coordinator capacity.

  • Foster a supportive team environment that encourages shared ownership, proactive communication, and early escalation of issues.

High-Volume Interview Scheduling

  • Oversee end-to-end scheduling of candidate interviews, including availability collection, panel coordination, calendar invitations, confirmations, and changes.

  • Lead coordination of complex interview plans involving multiple interviewers, senior leaders, time zones, and onsite or virtual logistics.

  • Monitor scheduling queues, aging requests, and service commitments; prioritize urgent needs and remove barriers that delay interviews.

  • Serve as the escalation point for conflicts, last-minute changes, and candidate concerns; provide hands-on scheduling support during peak demand or coverage gaps.

Candidate Experience and Onsite Operations

  • Establish consistent global standards for candidate communications, interview agendas, preparation materials, and timely updates, while accommodating local practices and regional nuances.

  • Oversee onsite interview logistics, including room reservations, candidate reception and escorting, interviewer transitions, and coordination with workplace teams.

  • Coordinate candidate travel and related arrangements, where applicable, in accordance with company processes.

  • Gather candidate and stakeholder feedback, resolve service issues, and implement improvements that strengthen the interview experience.

Process Improvement and Scheduling Technology

  • Develop and maintain scheduling procedures, communication templates, quality checks, and escalation protocols.

  • Partner with TA Operations systems owners to optimize Greenhouse, GoodTime or similar scheduling platforms, and calendar tools.

  • Identify opportunities to automate routine work and reduce scheduling handoffs; lead coordinator testing, training, and adoption of approved enhancements.

  • Ensure accurate interview records and appropriate handling of candidate information; partner with relevant teams on accessibility needs and confidentiality requirements.

Reporting and Capacity Planning

  • Track scheduling turnaround time, interview volume, request backlog, reschedule rates, accuracy, and candidate or stakeholder feedback.

  • Use workload and service data to identify bottlenecks, assess team capacity, and recommend staffing or process adjustments.

  • Partner with the Director of TA Operations to establish service standards and report performance, risks, and resource needs.

  • Coordinate with TA Business Partners on anticipated hiring demand and interview activity to plan coverage proactively.

Required Skills, Experience and Education:

  • Bachelor’s degree or equivalent combination of education and relevant experience.

  • 6+ years of experience in recruiting coordination, interview scheduling, or TA operations, including 3+ years of people management leading recruiting coordinators.

  • Demonstrated success managing high-volume scheduling and complex interview logistics in a fast-paced environment.

  • Experience coaching team members, allocating workload, managing service expectations, and resolving escalations.

  • Proficiency with applicant tracking systems, scheduling platforms, and calendar tools.

  • Strong organizational skills, attention to detail, and sound judgment when managing competing priorities.

  • Clear, professional communication and a strong commitment to candidate experience and stakeholder partnership.

  • Ability to use operational data to improve service quality, productivity, and resource planning.

Preferred Skills:

  • Experience in biotechnology or pharmaceuticals.

  • Greenhouse ATS and GoodTime scheduling tool experience preferred.
