About Flow
Flow is reinventing how humanity builds its most complex machines. We are the tool for complex systems engineering used by next gen teams building the future of space, defense, automotive, aviation and robotics. If a company is aiming for the Moon, developing fusion power, or establishing the first interplanetary colony, they’re likely using Flow to get there.
About the Role
We’re looking for a highly organized, execution-driven Executive Assistant to support our CEO and team. In this role, you’ll be a strategic partner to our founder, helping scale his time, streamline priorities, and keep the business operating with focus and efficiency. You’ll manage complex scheduling, support key initiatives, and ensure the CEO is focused on highest-impact priorities.
This is an opportunity for someone who wants real exposure to company leadership and to learn how a high-growth startup operates from the inside. This is an in-office position in San Francisco (5 days a week downtown).
What You’ll Do
Own the CEO’s schedule and priorities: Manage a dynamic calendar, anticipate conflicts, and prioritize strategically so the CEO stays focused on the highest-impact work.
Communication and correspondence: Handle and prioritize emails, calls, and other communications on behalf of the CEO. Draft responses as needed.
Meeting support: Create agendas, briefing materials, and talking points for key meetings and engagements. Capture notes, track follow-ups, and ensure important decisions and action items move forward.
Confidential Support: Maintain strict confidentiality and manage sensitive information with discretion and integrity.
Coordinate administrative and operational logistics: Handle travel planning, event coordination, office logistics, and personal tasks (as needed).
Act as a culture carrier: Represent the CEO with professionalism and build strong relationships across the company.
About You
A passion for being an Executive Assistant with 6+ years of experience in fast-paced environments supporting senior leaders.
Exceptional organization and time management skills.
Strong written and verbal communication skills. Professional communicator.
Strong judgement and discretion and comfortable with ambiguity and changing priorities.
High attention to detail with a proactive, problem-solving mindset. You naturally think five steps ahead.
Tech-savvy and curious about modern tools to work smarter.
