About this job
Job Description:
Position Summary
The Wall Street Journal is seeking a highly organized Executive Assistant to support two Deputy Editors in Chief. This role is central to the smooth operation of the Journal's senior editorial leadership team: in addition to day-to-day support for the Deputy Editors in Chief, this person will serve as a trusted backup to the Executive Assistant to the Editor in Chief and the Executive Assistant to the Managing Editor, ensuring seamless coverage whenever either is unavailable or at capacity.
The ideal candidate has at least five years of experience supporting senior executives in a fast-paced environment, exercises excellent judgment with highly confidential and sensitive information, and is comfortable managing shifting priorities under tight deadlines. This is an in-office role, five days a week, reflecting the collaborative, fast-moving nature of newsroom leadership support.
You Will
• Manage complex, frequently changing calendars for two Deputy Editors in Chief, proactively resolving scheduling conflicts and prioritizing competing demands.
• Coordinate internal and external meetings — including interviews, and events — arranging logistics, agendas, and briefing materials.
• Arrange domestic and international travel, including flights, hotels, ground transportation, and visas; process expense reports accurately and on time.
• Serve as a primary point of contact for the Deputy Editors in Chief, screening and prioritizing calls, emails, and requests with professionalism and discretion.
• Prepare, proofread, and format correspondence, memos, presentations, and other materials on behalf of the Deputy Editors in Chief.
• Liaise with senior leaders, reporters, editors, and external contacts, representing the Deputy Editors in Chief's with professionalism and sound judgment.
• Provide seamless backup coverage for the Executive Assistant to the Editor in Chief and the Executive Assistant to the Managing Editor during absences, high-volume periods, or as otherwise needed.
• Handle highly confidential and sensitive information — including personnel matters, editorial strategy, and pre-publication material — with absolute discretion.
• Anticipate the needs of the Deputy Editors in Chief, proactively solve problems before they escalate, ensure timely follow through to effectively manage the deputy’s time.
• Coordinate special projects, newsroom events, and off-site meetings as assigned.
• Maintain organized filing systems, contact databases, and records for the office.
• Partner closely with other executive assistants across the newsroom to coordinate schedules and share coverage.
You Have
• Minimum five years of experience as an executive assistant or in a similar role supporting senior executives, ideally within a newsroom, media company, or other fast-paced professional environment.
• Proven ability to manage multiple priorities and competing deadlines with composure and sound judgment.
• Exceptional discretion and demonstrated ability to handle confidential information with the utmost integrity.
• Strong written and verbal communication skills.
• Highly organized, with meticulous attention to detail and strong follow-through.
• Proficiency in Microsoft Office and/or Google Workspace, calendar management tools, and expense-reporting systems.
• Flexibility and willingness to adapt quickly to shifting priorities in a 24/7 news environment.
• Collaborative, team-oriented approach, with willingness to provide backup coverage for other executive offices as needed.
• Professional demeanor and sound judgment when interacting with senior leaders, journalists, and external contacts at all levels.
Work Environment
• This role is based in the Journal's New York newsroom and requires in-office presence five days per week.
• May occasionally require availability outside standard business hours to support breaking news coverage or urgent scheduling needs.
