We are seeking an experienced and strategic Benefits Manager with a broad-based background in U.S. employee benefits to support the design, administration, compliance, and continuous improvement of our benefits programs. This role will primarily focus on retirement programs but may also be assigned responsibility for managing other employee benefits programs as business needs arise or to provide backup coverage. A broad-based benefits background is essential to support this flexibility.

The Benefits Manager will manage day-to-day retirement plan administration and help ensure our programs are competitive, compliant, cost-effective, and aligned with employee needs and business objectives. Reporting to the VP, US Benefits, this role serves as a key internal subject matter expert and works closely with Human Resources, Finance, Legal, Payroll, HRIS, external vendors, consultants, and auditors.

The ideal candidate brings experience across multiple benefits areas, such as health and welfare, retirement, leave of absence, financial protection benefits, voluntary benefits, and wellbeing.

Plan Administration

  • Manage the administration of U.S. retirement programs, with opportunities to support broader benefits initiatives as business needs require.
  • Serve as a subject matter expert on retirement-related policies, programs, processes, and employee inquiries, while maintaining a working knowledge of the broader benefits portfolio.
  • Manage escalated benefits issues with a high level of customer service, professionalism, and confidentiality.
  • Ensure plan operations are administered in accordance with plan documents, summary plan descriptions, internal policies, and applicable legal and regulatory requirements.
  • Partner with internal stakeholders and third-party vendors to ensure accurate and timely administration of retirement plans, including eligibility, enrollment, contributions, distributions, and other applicable plan transactions.
  • Collaborate with HRIS, Payroll, and other teams on system configurations, file feeds, integrations, reconciliations, and process improvements.
  • Support retirement program communications and education initiatives and contribute to broader benefits activities, including open enrollment, as needed.
  • Recommend and implement process improvements to increase efficiency, compliance, and employee satisfaction.

Compliance and Fiduciary Oversight

  • Manage retirement plan compliance activities under applicable requirements, including ERISA, the Internal Revenue Code, and relevant IRS and DOL regulations.
  • Apply broad knowledge of U.S. benefits regulations to support cross-functional benefits work and identify issues requiring specialized guidance.
  • Assist with plan documentation, summary plan descriptions, amendments, required participant notices, reporting, and other required materials.
  • Coordinate and oversee annual retirement plan compliance and nondiscrimination testing, Form 5500 filings, and plan audits, as applicable.
  • Identify operational or compliance risks and lead corrective action efforts, including coordination with Legal, consultants, and vendors on corrections under applicable IRS or DOL programs when needed.
  • Support retirement committee governance, including preparation of meeting materials, documentation of committee actions, tracking of decisions, and follow-up on action items.
  • Assist fiduciary committees and senior leadership in fulfilling governance responsibilities related to plan oversight, vendor management, fees, and participant outcomes.

Vendor Oversight

  • Manage relationships with retirement plan recordkeepers, third-party administrators, actuaries, consultants, legal counsel, and other relevant benefit service providers.
  • Monitor vendor performance against service-level expectations and contractual obligations.
  • Support RFPs, contract negotiations, fee assessments, and implementation of service model enhancements.

Strategy and Plan Design

  • Support retirement program strategy by analyzing plan participation, employee engagement, program effectiveness, market competitiveness, participant outcomes, and cost trends.
  • Use a broad-based benefits perspective to evaluate how retirement programs complement other benefits and support employees’ financial wellbeing.
  • Recommend and implement plan design enhancements aligned with company objectives, participant needs, market practices, and regulatory developments.
  • Evaluate legislative and regulatory changes and recommend appropriate updates to plan design, administration, communications, and operations.
  • Contribute to broader benefits strategy and cross-functional projects as needed.

Participant Experience and Communications

  • Partner with vendors and internal stakeholders to develop and oversee retirement education and communication strategies that improve employee understanding, participation, and engagement.
  • Draft and review employee-facing materials for accuracy, clarity, and effectiveness.
  • Help connect retirement education with broader benefits and financial wellbeing communications to create a cohesive employee experience.

Reporting, Controls, and Audit Support

  • Partner with the Benefit Operations Manager to monitor and audit retirement plan processes, data integrity, eligibility files, payroll contributions, and vendor performance to identify and resolve issues.
  • Maintain strong internal controls over plan administration, payroll interfaces, reconciliations, and financial reporting.
  • Lead coordination and support for internal and external retirement plan audits, including documentation, issue resolution, and follow-up.
  • Prepare reporting and analysis to support leadership decisions, committee oversight, and ongoing program improvement.
